Text Box: BREAKING UP IS HARD TO DO - OSU SWITCHES TO UPS

Text Box: University Mailing is proud to announce that United Parcel Service will now be the new domestic express air service for the university.  We know that the transition will be a little confusing for a while but ask that you remain patient and we will be happy to address your concerns.  
The transition from Federal Express to Online CampusShip UPS is coming along nicely. There are a few items that you will need to continue to use paper shipping instructions for and they are:
· Hazardous Materials Shipments(49CFR requirements)
· International Packages (Our contract is with Federal Express)
· Shipments billed to credit cards
To alleviate some of the confusion about UPS services vs. FedEx services, here is a breakdown:
             UPS Next Day Air = FedEx Express Priority
             UPS Next Day Air Saver = FedEx Express Standard
             UPS 2nd Day Air = FedEx Express 2 Day Economy
             UPS 3 Day Select = FedEx Express 3 Day Guarantee
PLEASE NOTE:  UPS Next Day Sir Early A.M. is guaranteed delivery by 8:00 AM the next day.  It is VERY costly because it requires a special messenger type delivery.   If you need this service, it is available and can be used for your special needs.  If you mistakenly think this equal to FedEx Priority AM, you will see a 400% or more increase in your cost.
We now have new shipping instructions that reflect these new carriers and services!
You may still use your old shipping instructions but everything that says Fedex will go UPS now except for Fedex International.
 

 

Text Box: When calling to locate a package, parcel or letter, please know which carrier was used and have your tracking number so we can trace your item.  First class mail DOES NOT have a tracking number and therefore will be extremely difficult to find.
If you are calling to get a tracking number for a package that was sent, please have your pickup number and date and which service was used to send the item.

1889 the citizens of the city of Stillwater had the controlling vote in getting Oklahoma organized for statehood.  Instead of choosing to have the capital, they chose to give themselves a land grant university.
Oklahoma A&M was founded and the rest is history!
Their first mascot, however, was a tiger, not Pistol Pete.

Text Box: IS YOUR MAIL BEING ADDRESSED CORRECTLY?

Text Box: Here’s a portion of our incoming UPS packages.  Our inbound looks like this on any given morning.  We also get 2 separate
deliveries from Federal Express,  a delivery from DHL/Airborne Express and at least one hamper of accountable mail from the Postal Service!
 
Matt Coleman is loading from the dock to conveyer and Buster Palmer is inside the UPS truck offloading onto the dock.

Text Box: The packages go from the truck, to our dock, to our conveyer to be scanned into our system. As you can see, Hank Welliver is scanning as fast as he can so we can get your packages to you!

Text Box: Finally, the packages and letters make it inside to be sorted into the different routes for delivery!  This is where addressing is critical.  If your package has an incorrect address you may not receive it when you need it.
 
If you need to know if your package has arrived please have your tracking number and we will be happy to look it up for you. Looking items up by name or department is extremely difficult with the volume of items we receive.
 
Please be patient with us, this change is a learning experience for all involved.
 
 
 
 
 
 

Text Box: MAILING 101

Text Box: With the beginning of the new school year, University Mailing Services would like
to offer this short list of items as a refresher.  Following these simple steps will assure that your mail will be sent speedily on its’ way.
 
1. All outgoing mail must have a barcode on it to be processed.  If the barcode is not preprinted on an envelope a barcoded card may accompany the item.  Please attach your barcoded card with rubber bands or paperclips only (no staples or tape).  A barcoded sticker may be attached to larger envelopes or packages.  If you need to set up an account with a barcode please contact Brenda Maxwell at 744-5385 or Brenda.maxwell@okstate.edu
 
2. All envelopes should have a clear area of 3 1/2”  from the right hand side of the      envelope and 1 1/2” from the top for application of postage.  We can make some 
             exceptions but this is the preferred format.  The Post Office requires that the area
             on the bottom right is 4 3/4” x 5/8”.  This needs to be kept clear for the 
              PostNet Barcode.
 
3. When applying Certified and Insured Mail slips, you need to remember the 
             areas that need to be clear for postage.  It may be necessary to cover part
             of your return address in order to leave room for the postage.
 
4. We will be happy to insure any package you send.  Just attach a note asking
             for insurance and let us know the value of the contents.
 
5. The US Postal Service has strict rules when it comes to sending items overseas.
             Any package which weighs 13 ounces or more, MUST have a green and white
             ‘customs’ form.  If the package exceeds 4 pounds in weight or $400.00 in 
             Value there is a multiple sheet customs form that needs to be used instead.
             The address can be written in the language of the receiving country, however,
             the country name must be written in capital letters in English on the bottom
             line.
 
6. The country name should not be abbreviated.  If the address includes England
             or Scotland, you may use UK for United Kingdom.  However, something like SA
             would not be acceptable as the Postal Service would not know whether you          
             meant South Africa, South America or Saudi Arabia.
 
We appreciate your assistance with these areas.  We are here to assist you in sharing

· UMS can duplex print electronic files for fliers while incorporating  all postal discounts (black & white)
· UMS provides a letter merge service including variable data
· UMS still stocks a supply of envelopes for emergency mailings
· UMS still provides preprinted Business Reply Envelopes in #9 size
 
What could be easier than submitting a electronic copy of your material and your mailing list as e-mail attachments to brenda.maxwell@okstate.edu?  Follow the message with a visit to our website @ www.osuums.com and fill out an online workorder form and submit the whole thing from your desktop and never lose your parking space.

 boxes for rent.  If you are interested please contact Trudy Simank at our Student Union location to fill out a rental agreement.
 
Rental rates are:     Small box         $35.00/6 months
                                                                 $60.00/yearly
 
                                       Med box          $45.00/6 months
                                                                 $80.00/yearly
